Capital One statement to Excel or CSV

Capital One keeps up to seven years of bank statements online, but there are two quirks that catch people out: you only see them if the account is on paperless statements, and some accounts arrive combined or quarterly. Here's how to get your PDFs and turn them into a spreadsheet you can trust.

How to download a Capital One bank statement

From Capital One's help center (Capital One):

On the website 1. Sign in to capitalone.com. 2. Click the account you want statements for. 3. Click View statements.

In the Capital One Mobile app 1. Sign in and tap the account. 2. Scroll to the bottom of the page and tap Statements.

Things to know before you look

  • You must be enrolled in paperless statements to view statements online. To switch: open any account, then Account Services & Settings > Paperless (a valid email address is required) (Capital One).
  • Up to 7 years of statements are available online for active accounts.
  • Timing: bank statements are typically generated online by the 6th of each month.
  • Savings accounts may be quarterly: if there's no activity to prompt a monthly statement, savings statements are generated quarterly.
  • Direct accounts are automatically combined into one statement.

What to expect inside

Capital One's own guide to reading a statement lists the contents: name and address, account number, statement period with beginning and end dates, starting and ending balances, deposits, withdrawals, electronic fund transfers, credits, debits, fees, interest earned and bank contact information (Capital One). The two quirks above are what matter most for conversion:

  • A combined statement has more than one account in a single PDF, each with its own starting and ending balance.
  • A quarterly savings statement covers three months in one document.

Common pitfalls converting Capital One statements

  • Combining accounts into one table. Split the combined statement by account and reconcile each one separately: each account's starting balance + its deposits − its withdrawals = its ending balance. Mixing them produces totals that never match.
  • Transfers between your own Capital One accounts show as money out of one and money in to the other. Correct per account; just don't double count them in a household-level analysis.
  • Missing months that aren't missing. A savings account on quarterly statements will have gaps in the monthly list.
  • Checking vs credit card statements. Card statements work in reverse (purchases increase the balance owed), so don't reconcile a card PDF with checking logic.
  • Interest lines. Small interest credits are easy to drop in a manual copy, and the ending balance won't match without them.
