HDFC Bank statement to Excel: password, download and conversion

HDFC Bank's NetBanking can give you a statement in several formats, and the PDF version comes password-protected. Here's how to download it, what the password is, what the statement looks like inside, and how to get a spreadsheet you can trust, including for statements older than you can download.

How to download an HDFC Bank statement

From HDFC Bank's NetBanking FAQ (HDFC Bank), after logging in to NetBanking, either:

  • Click Get Statement on the home screen > select the account > select the time period > Download or Email, or
  • Click Accounts at the top > select the account > Account Statement > select the time period > Download or Email.

Formats: downloads are available in PDF, Excel, Text, Delimited and MS Money. Emailed statements are PDF only.

Monthly e-statements by email: NetBanking > Accounts > Quick Link Manage e-Statement > Enable e-Statements.

First, consider the Excel or Delimited download. If you have NetBanking access to the account and the period is available, HDFC's own Excel export is cleaner than converting a PDF. Convert the PDF when it's what you've got: an emailed statement, a client's file, or a period the download doesn't cover.

What is the HDFC Bank statement PDF password?

For statements downloaded from NetBanking, the password is your Customer ID (Cust ID). HDFC says this is shown in the note on the download page when you choose PDF, and in the success message after downloading (HDFC Bank). Your Customer ID is also printed on your cheque book (HDFC Bank).

For statements that arrive by email, use the instructions in that email; formats can differ by channel and product (credit cards, for example, are separate). If you're an accountant handling a client's statement, ask the client for the password separately from the file.

What an HDFC statement looks like

HDFC statements use seven transaction columns, the same in the PDF and Excel versions. Multiple import tools document the layout identically (for example OwnFi's guide and SmartXtract):

The Closing Balance on every row is what makes HDFC statements verifiable line by line.

Common pitfalls converting HDFC statements

  • The password. Try your Customer ID for NetBanking downloads. See our guide to password-protected statements.
  • Long UPI narrations. UPI descriptions are long hyphen- or slash-separated strings that wrap across lines in the PDF. A naive conversion turns one transaction into two or three rows. Merge continuation lines into the row above.
  • Two dates per row. Date and Value Dt usually match, but not always (cheques, clearing). Keep both; use Date for bookkeeping unless your accountant says otherwise.
  • Indian digit grouping. Amounts like 1,23,456.78 must be stripped of commas before they're numbers.
  • Day-first dates. HDFC dates are day-first. Choose DD/MM when importing into Tally, Zoho Books, QuickBooks or Xero.
  • Summary lines at the end (opening balance, totals, counts) are not transactions.

The check: opening balance + total deposits − total withdrawals = closing balance; and on every row, previous Closing Balance + Deposit Amt. − Withdrawal Amt. = this row's Closing Balance.

Converting an HDFC statement with Footed
