HSBC UK statement to Excel or CSV
HSBC UK is one of the banks where you may not need a converter at all: statements come as PDFs, but the transaction list can be downloaded as Excel or CSV. This page covers both routes, when each makes sense, and how to convert a PDF statement properly when it's the only thing you have.
Route 1: HSBC's own transaction download (try this first)
HSBC says statements download in PDF, but other formats such as Excel (xls) or CSV are available through your transactions list (HSBC UK):
- Log on to online banking.
- Choose the account.
- Select Search and filter and set the date range (and amount or keyword if you like).
- Select Search.
- Scroll to the bottom of the list and click Download.
- Choose the format and select Continue.
This is the cleanest data you'll get. Its limits: it's a transaction list, not the statement, so it may not carry the statement's opening and closing balances, and it depends on online banking access to the account.
Route 2: Download the PDF statement
Online banking (HSBC UK): log on, select Statements in the quick links, choose your account (or the statement type), then select the year and month to download. HSBC's online banking page gives an alternative path: pick the account, select Manage, then Statements, and search by date (HSBC UK).
Mobile app: you can view, download, print and share statements in the HSBC UK app as well.
How far back: up to 6 years of statements in online and mobile banking (HSBC UK). Personal loan statements aren't included in the view/download feature (HSBC UK).
Use the PDF when you need the official statement (for a lender or auditor), when you need the bank's own opening and closing balances, or when someone sent you the statement and you don't have their online banking.
Reading an HSBC statement: abbreviations
HSBC's list of common abbreviations (HSBC UK):
| Code | Meaning |
|---|---|
| ATM | Cash machine withdrawal |
| BACS | Bankers' automated payment (e.g. wages, regular payments) |
| BP | Bill payment |
| CHQ | Cheque |
| CR | Credit |
| DD | Direct Debit |
| DR | Debit balance |
| FP | Faster Payment |
| SO | Standing order |
| TRF | Transfer |
For conversion, CR and DR next to a balance are the critical ones. A balance marked DR means overdrawn and must be negative in your spreadsheet; drop the marker and every following balance check fails.
Common pitfalls converting HSBC statements
- Balances with CR/DR markers instead of signs (above).
- Day-first dates. Keep DD/MM and say so when your accounting software asks.
- Wrapped payee details that span two lines. Merge them into the transaction above.
- Mixing the download and the PDF. If you combine a CSV export with converted PDF months, check the boundary: the first transaction after the switch shouldn't duplicate the last one before it.
Converting an HSBC statement PDF with Footed
Footed opens the PDF in your browser; only the extracted text is sent for parsing (processed in memory, not stored). It converts CR/DR balances to signed numbers and reconciles: opening balance + extracted transactions = closing balance, plus row-by-row checks against the printed balance. Anything that doesn't agree is highlighted. Download Excel, CSV or OFX.
