NatWest statement to Excel or CSV

NatWest makes up to seven years of statements available as PDFs in Online Banking, and publishes a full list of the abbreviations you'll see on them. Here's how to download, decode and convert a NatWest statement so the totals tie out.

How to download a NatWest statement

In Online Banking (NatWest):

  1. Log in at onlinebanking.natwest.com.
  2. Select Statements & transactions from the main menu, then Statements under Your statements.
  3. Choose the account, and the year in the time-period dropdown.
  4. Select the statement cycle link; it downloads as a PDF according to your browser settings.

In the NatWest app: select the account, tap the three-dot icon at the top, choose Statements, select the statement, then use the export button (top right) to save or share it (NatWest).

How far back: recent or historic statements going back up to 7 years for the account you choose (NatWest). NatWest adds that a downloaded PDF statement can be used as proof of identity, address or income, and that a PDF is available in Online Banking as soon as the statement is issued.

Reading a NatWest statement: abbreviations

NatWest publishes its common transaction abbreviations (NatWest). A selection:

Code Meaning
BAC Automated credit
BGC Bank Giro Credit
CHP Payment by CHAPS transfer
CHQ Cheque
D/D Direct Debit
DPC Payment or transfer made in online banking
DR Account overdrawn, or a debit item
INT Interest
OTR Online banking transaction
POS Debit card transaction
S/O Standing order
TFR Transfer

Two NatWest-specific descriptions you may see:

  • CALL REF.NO.XXXX: a reference assigned to online or telephone banking transactions in a session; the full description usually replaces it by the next working day, and CALL REF.NO.0000 indicates a mobile app transfer (NatWest).
  • VIA MOBILE - LVP: a payment made, or received from another NatWest app user, through "Pay someone new" using sort code and account number (NatWest).

Common pitfalls converting NatWest statements

  • "DR" means two things. NatWest's list defines DR as "Account Overdrawn or Debit Item". Next to a balance it means overdrawn, so the balance must be negative in your spreadsheet. Dropping it breaks every following balance check.
  • Bare reference descriptions. A row described only as a CALL REF.NO. is a real transaction even though the payee isn't shown. Keep it.
  • Wrapped descriptions across two lines, and brought-forward balances at page breaks. Merge the first, drop the second.
  • Day-first dates. Keep DD/MM through to your accounting software.

Converting a NatWest statement with Footed

Footed opens the PDF in your browser and sends only the extracted text for parsing (processed in memory, not stored). It treats overdrawn (DR) balances as negative, merges wrapped lines, and reconciles opening balance + extracted transactions = closing balance and each row against the printed balance, highlighting any mismatch. Export Excel, CSV or OFX.
